In Spring 2022, the Records Management office plan to completely overhaul the records retention schedules on their website. “We’ve been collaborating with our colleagues,
Paige Hohmann and Michael Stewart on the Okanagan campus to produce a comprehensive set of schedules covering all the functions at the university,” says Barbara Towell, E-Records Manager at the university, “we’re taking this opportunity to not only update the schedules, but also improve their presentation on our website. We are hoping to vastly improve user experience.”

The schedules on the current website require modernizing. Work had been done over the years, on the Human Resources, Instant Messaging, Email Applications and Video Recordings schedules, as well as tailored governance documentation at the unit level (not displayed on the RMO website), but nothing covering all the functions at the university. With collegial support from the Okanagan Library and the expert work of iSchool student Andy Resto, 2022 is the year!
End-users visiting the new records management site will see a search bar and a list of categories, or functional blocks, that when clicked will cascade into individual schedules. Users will have the choice to either navigate the schedules or use Google functionality to search across schedules. “We’re hoping that staff will be able to easily find what they are looking for.” There will be two formal comment periods, March and May 2022. After the completion of the comment period the RMO will continue to receive comments with updates to the schedules made regularly.
“We know there are going to be gaps in these initial review rounds” says Alan Doyle, University Records Manager, “but we are looking forward to hearing from units to fill holes in the schedules” The new schedules will be on the Records Management Website for review starting March 15, 2022.
